Your Options

We offer parents and carers the choice of two different booking formats-Contract and Ad hoc.

 

  • The contract method allows you the security of long term guaranteed sessions.
  • The Ad hoc method allows you the flexibility of being able to book sessions as and when you need them, availability of these sessions is not guaranteed until the booking is confirmed. Sessions can be booked up until 30 mins before the start of a session. If you need to book after this time then we ask that you call the office and we will manually process the booking for you. The reason for this is because we need to communicate last minute changes to staff and schools.
  • You can also combine the two by having a contract for days you wish to use regularly and top up with ad hoc sessions if required.

 

The booking method used is completely your choice however if you use a contract we stipulate that 1 months’ notice of cancellation is required. This allow us to plan communication, recourses, food, activities, staffing (according to ratios) and many other processes accordingly.

We manage childcare for over 400 children and we process many changes and cancellations on a daily basis. 

 

The booking system and related policies and procedures are planned and utilised very efficiently so as to ensure the high quality operations behind the scenes result in the high quality of care that we provide.

Contract booking

If you require regular/long term childcare you can book breakfast and after school club sessions on a contract basis. *subject to availability. 

 

Contract bookings can be made up to 4 weeks in advance. 

 

To make a booking

  • Click the Book online button and create an account.
  • Once you have created an account and entered all details required you can then log in and select the "make a contract booking" option and select the venue required.
  • Select which children you wish to book sessions for.
  • Choose sessions, select a start date and click book.
  • Next review the parents/carers and emergency contacts, click next to confirm this is correct or edit to make any necessary changes.
  • Review the medical information, click next to confirm this is correct or edit to make any necessary changes.
  • Review the custom information, click next to confirm this is correct or edit to make any necessary changes.
  • Read and agree to our terms and conditions and select consents you agree to. When you click next you will see a message appear saying "an email has been sent to you containing the details of the sessions you requested. We will be in contact once we have reviewed your request".
  • Upon receipt of your contract request we will approve or decline your chosen sessions subject to availability. If your contract is approved it will continue on a rolling basis until 1 month notice is supplied by email.
  • If we have to decline your booking or part-of due to lack of availability, we will contact you to discuss how to proceed. You can then choose to be placed on our waiting list or to select alternative sessions if this is possible.
  • A booking confirmation will be issued to the primary email address upon approval of your booking. Upon receipt of this email please click on the confirm payment for the booking link and select your method of payment. 

 

If you have a contract with us you will issued with an invoice on the 20th of each month

Your fees are due 1 month in advance and the invoice is payable by the 1st of the following month. *For example if you receive an invoice on 20 August for sessions in September, your invoice would be payable by 1 September. 

 

Please note: your contract booking is not confirmed until you have made a payment and received a booking confirmation email.

Ad hoc booking

If you require occasional childcare you can book breakfast, after school and holiday club sessions as and when you need them, even up until the start of the session!! *subject to availability. If you require holiday childcare we are very flexible and (subject to availability) you can book individual sessions or the entire holiday period. We offer 6 different session times, please view our opening times and fees below.

 

Ad hoc bookings can be made up to 4 weeks in advance. 

 

To make a booking

  • Click the Book online button and create an account. You can then log in and select the make an ad hoc booking option and selecting the venue required.
  • Select which children you wish to book sessions for
  • Choose dates and sessions and click book.
  • Next review the parents/carers and emergency contacts, click next to confirm this is correct or edit to make any necessary changes.
  • Review the medical information, click next to confirm this is correct or edit to make any necessary changes.
  • Review the custom information, click next to confirm this is correct or edit to make any necessary changes.
  • Read and agree to our terms and conditions and select consents you agree to.
  • Lastly select your method of payment and complete your booking.
  • A booking confirmation will be issued to the primary email address supplied  upon completion of your booking. 
  • If you are making a payment by bank transfer, childcare voucher please arrange payment immediately.

 

Ad hoc bookings are allocated according to live availability and therefore once booked and payment is made they are guaranteed.

Changes and cancellations

  • One month’s written notice of your intention to reduce the number of sessions/days your child/children attends CK must be given, or one month’s fees paid in lieu of notice for the number of sessions/days reduced by.
  • Cancellation will only be accepted if given in writing by way of an email to: admin@creativekidz.org.uk . We shall acknowledge receipt of written notice by email to the primary email address supplied by the customer. The Notice period will not take effect until we have acknowledged receipt of written notice. You must include your child’s full name, the name of the setting your child attends and which sessions you wish to cancel. Text messages or hand written letters passed to members of staff will not be accepted as a form of written notice.
  • Please let us know if your child will not attend during the notice period so that we know whether they will be attending or not.
  • Notice will be effective from the day it is received by the manager. If notice is received out of hours (8am to 6pm Monday to Friday), it will be effective from the subsequent working day.
  • If you wish to book additional sessions, you must complete a new contract, All bookings are allocated in accordance with our admissions policy.
  • CK must be informed 1 month in advance of any changes to your booking and this notice period is payable. We do not swap sessions.
  • Cancellations are subject to One month’s written notice of your intention to withdraw your child (children), or one month’s fees paid in lieu of notice.
  • CK is closed on all English Bank Holidays. Contract and ad hoc breakfast and after school club availability is as per published school term dates, the breakfast and after school clubs are closed during school holidays and on inset days unless otherwise notified.
  • Fees are not charged for school holidays unless we are operating a holiday club and you have booked holiday club sessions..
  • If you cancel an ad hoc session, you are still liable for the cost.
  • If you cancel a holiday club session within 1 month of the start date you are still liable for the cost.
  • Completion of an online booking form is required for each and every booking including ad hoc sessions.
  • Ad hoc sessions cannot be booked more than 4 weeks in advance.
  • Availability of ad hoc sessions cannot be guaranteed.
  • CK may, in its absolute discretion, take the decision to close without prior notice, due to adverse weather, or other circumstances outside our control. If CK should close in such circumstances, we shall be under no obligation to provide the contracted services or to provide alternative care facilities for the child and the Parent/guardian will not be entitled to any refund of fees or sessions in lieu.
  • Parents/guardians who have submitted a booking including those whose children have not yet commenced their childcare at CK are obliged to give not less than 1 month’s written notice of any required reduction or cancelation of the contracted services. Where less than 1 months’ notice is given, CK reserves the right to charge a one off fee equal to the daily rate of the reduced sessions.
  • Upon termination of the contract for whatever reason, whether by notice or otherwise, CK shall have no further obligation to provide the contracted services.
  • The 1 month written notice period condition will still apply when transferring responsibility of an existing booking to another person, for example an ex-spouse or another family member. The person who made the original booking will remain responsible for the payment during the notice period.
